Applies to plan(s): Enterprise.

Hoopla Enterprise is designed for large organizations managing hundreds of screens across multiple users with different permission levels. If your organization has many locations and you want location managers and headquarters to share responsibility for screen content, Enterprise provides the collaboration and access-control features you need.

Hoopla Enterprise includes these core capabilities:

  • Multiple users – Add team members beyond the single-user Standard plan limit
  • User roles – Assign granular permissions that control what each user can view, edit, and delete
  • Shared domain – Enable collaboration across your organization with visibility into each other’s screens and content

Enterprise offers four user roles with distinct permission levels:

  • View, edit, and delete their own screens, content, and playlists
  • View, edit, and delete resources owned by any other user in the domain
  • Invite users to join the domain and assign roles to any user
  • View, edit, and delete their own resources
  • View and edit (but not delete) resources owned by any user in the domain
  • Invite users to join the domain and assign roles to any user
  • View, edit, and delete their own resources
  • View only the content and screens belonging to other users in the domain
  • View and edit (but not delete) resources explicitly shared with them by other users
  • View, edit, and delete their own resources
  • View screens explicitly shared with them
  • Cannot view or edit any other user’s content
  • Cannot remove presentations added to their playlists by Superadmins, Admins, or Standard Users
  1. Go to your Account Console page in the Dashboard and select the Users tab.
  2. Click Invite User.
  3. Enter the user’s email address and press Next.
  4. Enter the user’s first name, last name, and select a role.
  5. Click Send Invite.

The invited user will receive an email invitation to join your domain. Once they accept, they will have access based on the role you assigned.

If you need to resend or cancel a pending invitation:

  1. Go to Pending Invites in the Users tab.
  2. Click on the user’s name.
  3. Select Resend Invite or Cancel Invite.

You can control which users have access to specific locations:

  1. Navigate to the location you want to manage.
  2. Click the three-dot menu next to the location name.
  3. Select Manage Access.
  4. Add or remove users as needed.

To remove an inactive user from your Enterprise domain, email support@displai.ai.

After adding a user, confirm:

  • The user received the invitation email and accepted it
  • The user appears in your Users tab with the correct role assigned
  • The user can access screens and content appropriate to their role

If a user doesn’t receive the invitation email, check that the email address is correct and ask them to check their spam folder. You can resend the invitation from the Pending Invites section.

If permissions aren’t working as expected, verify the user’s assigned role matches their required access level. Contact support if the role permissions don’t match the behavior described in this article.
