Add and manage Fan users in Hoopla
Add Fan users or convert existing users to Fans, and see what a Fan license can and cannot do in Hoopla.
When to use this
Section titled “When to use this”As a Hoopla administrator, assign a Fan license to people who need to follow activity without being tied to metrics. Fans can view Channels and the Activity Feed and watch Leaderboards. Their license differs from the Standard license used by Players, Admins, and Team Admins. Contact your account representative to arrange Fan licenses.
Add Fan users
Section titled “Add Fan users”- Open Configure > Users & Teams > Users.
- Select Add > Single User or Many Users.
- If Salesforce integration prompts you to add users through Salesforce, select No, add users manually. Fan users cannot be added through Salesforce.
- Select Fan License.
- Enter each user’s first name, last name, and email address. For many users, you can enter the details manually or upload a CSV/XLS file.
- Click Save. New users receive a welcome email to set a password and complete their profile.
Change an existing user’s license
Section titled “Change an existing user’s license”Warning: Moving a user from a Standard License to a Fan License removes their associated Metrics, Leaderboards, and other entities. Review this impact before changing the license.
- Open Configure > Users & Teams.
- Select the user.
- Under type of license, select Fan License.
- Click Save.
Set up participation
Section titled “Set up participation”Add Fans as Watchers on company-wide Channels, Leaderboards, and Newsflashes so they can follow updates.
Fans can add their birthdays and anniversaries to their profiles, or administrators can upload them by CSV. These dates appear in applicable Calendar Event Steps.
Verify
Section titled “Verify”Confirm that the user’s profile shows Fan License. Fans can sign in and edit their profile, including their photo, birthday or anniversary, walk-up song, and transition video.
Fan limits
Section titled “Fan limits”Fans are not tied to metrics. Related entities, including Challenges in the Activity Feed and the Dashboard tab, are hidden from them. They cannot be Players on Leaderboards, Challenges, Metric Newsflashes, Streaming Newsflashes, or Metric Steps.
If it doesn’t work
Section titled “If it doesn’t work”Use manual user creation for Fans rather than Salesforce provisioning. If Fan licenses are unavailable, contact your account administrator or account representative before continuing.
